Food trucks at a corporate event: permits, power, and flow
A food truck reads as fun and casual until the fire marshal shows up or three trucks trip the same breaker. Here is the permitting, power, and guest-flow planning that keeps a truck event from becoming a 45-minute line and a citation.
Two food trucks parked on a plaza for a 200-person company picnic tripped the building’s exterior GFCI three times in the first twenty minutes, and each reset sent both generators cold and both grills back to temp. Lunch ran 40 minutes behind for a two-hour window. The problem was not the trucks. It was that nobody had asked how many amps each truck pulled, and both had plugged into the same 20-amp exterior circuit because it was the only outlet within reach of their cords.
I plan association and policy events, and food trucks have become a standard request because they feel relaxed and let people choose. They also carry a permitting and infrastructure load that most planners discover the hard way. Trucks are small commercial kitchens on wheels, and they bring commercial-kitchen problems to a plaza that was never wired for them.
Permits are the part that can shut you down
A food truck at a private event usually needs its own valid mobile food vendor permit and current health department inspection, and increasingly a temporary event or special event permit from the local jurisdiction. Some cities also require a fire marshal sign-off when trucks run propane, which they almost all do. I ask every truck for three documents before I sign them: current mobile vendor license, current health inspection certificate, and proof of commercial liability insurance naming the venue and the client as additional insured, usually $1 million per occurrence.
The propane question is where fire marshals get involved. Trucks with propane cooking often need a current fire suppression inspection tag and, in some jurisdictions, a fire extinguisher of a specific class visible at the service window. In a few cities, propane on a rooftop or inside a structure is flatly prohibited. Ask the venue and the local fire marshal in writing weeks out, because “we didn’t know we needed a permit” is not a defense that reopens a shut-down event.
Power is the failure nobody plans for
A working food truck pulls real amperage: refrigeration, warming, lighting, point-of-sale, and sometimes electric cooking. A single truck can draw 30 to 50 amps at peak. Plug two into the same 20-amp house circuit and you trip it, every time, exactly as my plaza picnic learned.
The two clean options are generators or dedicated distributed power. Most trucks carry their own generator, which solves the electrical problem and creates a noise-and-fumes problem: generators are loud and they smell, so I stage them away from seating and downwind. If you want quiet, you rent distributed power or a silent event generator and give each truck its own dedicated circuit sized to its published draw. I get the amperage number from each truck in advance and size the power to it. This is the same discipline that keeps a 48-hour hackathon’s power and catering from collapsing: know the load before you plug anything in.
Flow, or how to avoid the 45-minute line
The math that surprises people: one food truck serves roughly 60 to 100 guests per hour, depending on menu complexity. A truck making tacos to order is slower than one handing over pre-portioned boxes. For 200 guests in a one-hour lunch window, one truck is a disaster and two is tight. I plan one truck per 75 to 100 guests when the window is short, and I stagger menus so people are not all queuing at the taco truck while the grain-bowl truck sits idle.
Layout drives the line. I spread trucks apart so their lines do not merge into one mob, put the trash and seating between them to pull people through, and use signage so guests know their options before they commit to a queue. A pre-order option, where people pick a truck and a dish on arrival and get a text when it is ready, turns a standing line into a mingling crowd. That flow discipline is the same one that makes a restaurant patio buyout on the Friday cocktail circuit feel easy instead of jammed.
The venues that actually fit a truck
Trucks need ground-level vehicle access, a surface that takes their weight, and clearance to park. That points to specific venue types. An outdoor or garden venue with a service drive is the natural fit, as long as the ground is firm enough for a loaded truck and level enough for the fridges to run right. A warehouse venue or loft and industrial space with roll-up doors and a loading area can bring trucks indoors or stage them at the dock, which solves the weather problem, but only if the fire marshal permits propane inside, which many will not.
Confirm the surface. A truck sinking into a wet lawn or scarring a decorative plaza is a damage claim, and some venues prohibit vehicles on their grounds entirely. I get the parking surface and vehicle-access rules from the venue in writing before I promise a client trucks at all.
The waste and cleanup nobody budgets
Trucks generate grease, packaging, and gray water, and someone has to deal with all three. Grease cannot go down a storm drain, ever, and a truck that dumps it will earn the venue a fine and you a permanent ban. I confirm each truck hauls out its own gray water and grease, and I add extra waste and recycling stations because truck food comes in disposable packaging that fills bins fast. If the client cares about waste, I hold the trucks to the same standard I use in zero-waste catering a venue will agree to: compostable packaging, sorted bins, and a haul-out plan in the vendor agreement.
The weather plan that trucks force
Trucks are an outdoor bet, and an outdoor bet needs a backup that most planners skip. Rain does not stop a food truck from cooking, but it stops your guests from standing in a 15-minute line to reach the window. I plan a covered service zone: a tent over the ordering and pickup area at minimum, and ideally covered seating within a short walk. A 20-by-30 tent runs $400 to $900 in most markets, and it is the difference between a picnic that happens and one that scatters at the first cloud. I also confirm the trucks will run in rain, because a few will not fire propane under a tent for fire-safety reasons, and I want that answer before the forecast turns, not the morning of.
The timeline I run
Six weeks out: confirm venue vehicle access and propane rules. Four weeks out: collect permits, insurance certificates, and each truck’s amperage draw. Three weeks out: file any temporary event or fire permit the jurisdiction requires. One week out: confirm generator or power plan sized to the actual loads. Day of: trucks on site 90 minutes early for setup, generator placement, and a power check before the first guest.
